The challenge

High-Tech Project Management (HTPM), a UK-based company, specializes in helping high-tech businesses accelerate product development by upskilling project managers and optimizing internal project management systems. Our collaboration aimed to create a comprehensive online ecosystem that would provide a strong foundation for the business’ growth and scalability. This included developing a new website, setting up email marketing campaigns, optimizing LinkedIn profiles, and crafting a detailed content and outreach strategy. The result is a well-oiled, 24/7 sales machine that consistently drives new business opportunities for the business.

Platform

Overcoming Key Barriers: Positioning and Communication

When we began our cooperation, HTPM was a small business with an outdated website that had outdated content and, quite frankly, had few visitors and generated no leads because the overall approach to the website wasn’t ideal. Our goal was to create a robust online ecosystem using various approaches from consulting framework which is proven to deliver results for consulting businesses.

Before diving into development, we faced two key challenges: how to position the business effectively and how to present the offerings to different audiences in a clear way that doesn’t confuse them.

Originally, the business was positioned as a typical coaching business without any clear differentiators, despite having many. These strengths were either poorly presented or not mentioned at all. So, to establish the business as a trusted authority, we highlighted their expertise in the high-tech sector, showcasing specific measurable results, client testimonials, and their history of past big projects.

As with every other client, we aim to leverage offerings as much as possible. This time, we had two offerings—coaching and training—that needed to be effectively communicated to different audiences due to their unique pain points. For example, there is coaching for project managers. For project managers, it is positioned as a way to improve their skills, while for business leaders, it’s presented as a means to coach project managers to manage projects better and accelerate product development. To resolve this, we created separate landing pages for each offering, tailored specifically to project managers and business leaders. This allowed us to deliver targeted messaging to each audience while crafting strong call to actions.

Crafting the High-Tech Design with a Strategic Focus

From the start, we knew we needed to convey a modern “high-tech vibe” that resonated with the target audience. However, since the business already had an existing branding we had to follow the brand guidelines, which at times limited our creative freedom. To achieve the right balance, we experimented with various shades of blue combined with white, aiming for a design that felt familiar to the industry. During the concepting stage, we also explored alternative homepage designs with experimental colors and created custom icons and images to match the high-tech aesthetic.

Building trust through value with a membership portal

The original idea was to have a membership portal, and at Outgrow, we focus on providing value first, so this is what we suggested to the consulting client. The reasoning behind it was that sales cycles in the coaching and consulting industry are often long and can take months to close. By creating a portal where relevant prospects sign up and receive value on a weekly basis, the business gets them into the system and nurtures these prospects. And when the time is right, they’ll know who to trust, thinking, “If the free value helped my business, imagine how great the paid offerings must be.” This is exactly what we aimed for.

From old to new: Website redesign highlights

We significantly improved the website’s performance in terms of leads and engagement by defining a clearer customer journey, highlighting key information in the layout, and adding easy-to-convert call to actions. The new website introduced several new pages and features such as landing pages, a blog section, a membership portal, lead forms, and e-book magnets. The entire design was built from scratch with unified branding. With a modern high-tech vibe, our goal was to also position the business as a premium coaching provider.

Supporting every area of the online business launch

Kickstarting an online presence is more than just launching a website. There are many other essential elements that must be in place to build a functional and comprehensive online ecosystem, scalable to 5, 6, or even 7 figures. Here are some of the key areas we helped the client with:

Social media banners

Designed LinkedIn banners and “Featured Section” thumbnails to effectively communicate the USP (unique selling proposition).

LinkedIn profile optimization

Optimized personal and company profiles by rewriting the “About Us” section, adding links, banners, thumbnails, and more.

Social media post templates

Created 15 versatile social media templates in HTPM branding, designed for many scenarios and ready to use.

Email marketing setup

Created three separate email campaigns with specific triggers, automation, and tailored copy. All emails are in HTPM branding.

Booking tool integration

Set up and integrated the Calendly booking tool across the website and LinkedIn profile for seamless scheduling.

Automation

Automated all website flows, including email collection, sending automated emails, and other key processes.

Analytics and tracking

Set up custom tracking to gain valuable insights, using platforms such as Google Analytics, Google Tag Manager, and more.

Custom design assets

Created a variety of design assets, including new infographics, custom thumbnails, and more, to communicate key information.

Helping launch marketing with a 3-week sprint

In marketing, speed is of the essence—quickly set up the campaign, launch it, gather feedback from real data, then adjust, optimize, and scale, or scratch the idea and try something new. That’s why at Outgrow, we heavily focused on HTPM’s marketing sprint, making sure everything was set up and ready in just 3 weeks, from strategic planning to detailed, actionable steps.

Marketing funnel and data

The first week was all about broader strategic planning for marketing, answering key questions like how to drive more traffic to the website, identifying key metrics to assess the direction, determining expected conversion rates and revenues, and how to work with prospects that get into the system. Simultaneously, to gather feedback from future marketing campaigns, we built a robust data tracking and reporting system, allowing the client to monitor campaign performance in real time and make data-driven decisions. Imagine it as a marketing step-by-step guideline.

Primary deliverables

Content plan and strategy

Because content is such an integral part of the business – whether it’s LinkedIn posts, blog articles, or content inside the portal – it was essential to strategically define its role in marketing and then create actionable steps for the client. The goal was to gain traction on LinkedIn and nurture prospects within the system. Our plan was to write valuable content for the membership portal and blog, then repurpose it into multiple LinkedIn posts. This approach would redirect the target audience from LinkedIn to the website, bringing them into the system where we can nurture those leads with value.

Primary deliverables

LinkedIn outreach tactics

For most smaller coaching and consulting businesses, LinkedIn cold outreach is the fastest way to get initial leads into the system. The same applied to HTPM, so with the system set up, now was the time to focus on this topic. We helped the client with filtering to find the relevant target audience and crafted tailored messaging. At Outgrow, we believe in value first, so all the messages and follow-ups were centered around pain points, the value proposition, and measurable results the business could deliver. Everything was designed for quick, copy-paste launch within minutes.

Primary deliverables

Process

Every stage of the process was carefully planned upfront, allowing us to launch the entire website in nine weeks, including time for client feedback and revisions. Between each stage, we discussed progress with the client, ensuring optimal output.

Understanding the business, thinking about customer journey and how to efficiently present the various offerings to 2 different target audiences.

Establishing HTPM’s communication by creating a detailed copywriting style guide and developing webpage wireframes with corresponding copy.

Creating multiple design concepts with a couple of variations in Figma, finalizing the color palette and font style. Additionally, we prepared various custom design assets for the website.

Coding the website on a staging domain so the client could see the progress in real-time. Simultaneously, we set up email campaign flows and created design templates for LinkedIn, emails, and other custom design assets.

Launching the website and completed all post-launch tasks, including connecting analytics, integrating it with existing systems, and performing a final check to ensure all functionalities were working as intended. In this stage, we also optimized LinkedIn profiles.

Developing a comprehensive marketing strategy during the 3-week marketing sprint for the client, designed for easy implementation within minutes. This ensures they stay on the right track, quickly achieve results, and scale effectively in the online space.

Transforming HTPM’s Online Presence for Lead Generation and scalable Growth

As a result of the complete online transformation, HTPM now has a high-performing website that not only looks modern but also drives leads and engagement. The revamped site, with its clear customer journey, tailored landing pages, and integrated booking tools, ensures visitors are guided smoothly from start to conversion, building trust along the way.

With the addition of a targeted 3-week marketing sprint, The business now has a strategic plan in place that focuses on content, LinkedIn outreach, and data-driven insights, creating a scalable system that generates predictable revenue and long-term growth.

As a final note from the Outgrow team: “People often say the sky is the limit, and that’s true. But quite frankly, it’s a hell of a lot easier when you have a fully functional rocket, built by engineers who’ve done it dozens of times. All you have to do is launch it to reach those skies, rather than trying to build it on your own.”

My dream, vision and plan is to use my extensive career experience in high-tech engineering, to help high-tech companies to accelerate product development by 10 to 20%. I needed to outsource a website development project.

Initially, my intention was to create a Specification and discuss with three web development agencies. However, the first one engaged, Outgrow, were very impressive, making my selection easy. Why I chose Outgrow:

  • Short lead time
  • Access to a team of developers, so future fast response
  • Promoted the idea of developing a “marketing engine” based on website, email and social media
  • Could support development on my preferred tools of WP, LinkedIn, Mailchimp and Canva
  • Could support a Membership Portal and evolve this over time
  • Discussed the project intelligently
  • Seemed like a “strategic partner” rather than just a transactional sub-contractor

In developing a website there were some key barriers that
Outgrow and I needed to recognise and overcome. The main ones were:

  • Website visitors have a very short attention span
  • We need to establish relevance and potential value very quickly
  • My positioning in the market is quite unique and needs a rapid orientation
  • We needed several points where visitors register their interest and sign up

Again, in the development discussions, combining
Outgrow’s marketing experience and my industry insights and strategic understanding, we were able to thrash out solutions

From project green light to launch was scheduled to be 7 weeks. I knew that new ideas would evolve during the project, that it would take 8 – 9 weeks. In reality, it was 9 weeks, roughly as expected.

The weekly or sometimes twice weekly online sessions I held with Outgrow were extremely productive. Additionally, Outgrow normally did a succinct weekly report and also produced Loom videos to explain some technical issues and pose several design implementation decisions which needed to be made.

In my opinion, the new website looks great and potentially really effective as a marketing platform. Additionally, the modification to my LinkedIn profile is much improved. The integration of the website and Mailchimp also looks functional.

Outgrow were adept at creating a Membership Portal, which is rich in educational resources.

In conclusion, the launching of my new website got me to what I call, “Basecamp”. I now have a good marketing platform. I am now discussing business launch and ramp-up support with Outgrow. In short, the website development was a resounding success. Thanks to Outgrow!
